Who we are

What we collect

• Details you enter in the consultation form: name, email, phone (optional), country, preferred language, treatment of interest and your message
• Technical data needed to deliver the website securely, such as IP address and browser type, processed by our hosting provider
• Information you send us later by email or messaging, such as photos or X-rays, which may include health data

Why we use it

We use your details to reply to your enquiry, prepare a treatment plan if you ask for one, and communicate with you about your treatment. The legal bases are your consent and steps taken at your request before entering into a contract. Health data is processed only with your explicit consent.

Who processes it

Form submissions are stored in our website and customer management system provided by Wix.com Ltd. Fonts are delivered by Bunny Fonts (BunnyWay d.o.o., EU), which does not log personal data. If you consent to statistics, usage data is processed by Google Ireland Limited (Google Analytics 4 via Google Tag Manager) on the basis of your consent (Art. 6(1)(a) GDPR); see our cookie policy. We do not sell your data. We may in future transfer enquiries to our clinic management system; this policy will be updated before that happens.

If you contact us on WhatsApp, your messages, phone number and profile name are processed by WhatsApp Ireland Limited (Meta) under its own privacy policy. We use WhatsApp only to answer your enquiry and to communicate with you about your treatment. You can always reach us by email or phone instead.

If you use Rubi Care, the AI chat assistant on our website, your questions and the assistant's replies are sent through our server on Cloudflare (Cloudflare, Inc.) to Anthropic (Anthropic, PBC), which generates the replies. We use them only to answer you; we do not store the conversation on our servers or link it to your enquiry, and Anthropic does not use API data to train its models. Please do not enter health details or other sensitive information in the chat; for questions about your own treatment, use the consultation form or contact us directly.

International transfers

Our clinic is in Türkiye and our service providers may process data outside your country. Where required, we rely on appropriate safeguards under the GDPR, UK GDPR and the Turkish Personal Data Protection Law (KVKK).

Transfer mechanisms and KVKK registration (VERBİS) details to be confirmed by legal counsel.

How long we keep it

Enquiries that do not lead to treatment are deleted after 24 months unless you ask us to delete them sooner. Patient records are kept for the period required by Turkish healthcare law.

Your rights

Depending on where you live, you may have the right to access, correct, delete or restrict the processing of your data, to object, to data portability and to withdraw consent at any time. You also have the right to complain to your data protection authority (for example the ICO in the UK, your state authority in Germany, the UODO in Poland, or the KVKK Authority in Türkiye).
